Round Robin Brainstorming
Preparation
What needs to be ready before start
Whiteboard or Miro board with visible challenge at top and list for ideas; sticky notes or digital cards; timer; visible participant order.
One facilitator who enforces sequence and prevents duplicate contributions; four to ten equal participants; one scribe who categorizes ideas (optional).
Challenge as one sentence; existing idea lists to avoid repetition; participant order (set in advance, not spontaneous).
20-45 min
Write challenge at top. Number participants in fixed order. State rule: one idea per person per round, no jumping ahead, pass allowed. Timer 30-60 s per contribution.
Core question
The one question this method answers
Which ideas emerge when every person in the group contributes evenly and without dominance?
Flow
Marker: Phase
| Step | Duration | Action | Hint |
|---|---|---|---|
1Phase 1: Challenge and rules | 5 min | Read challenge aloud, clarify understanding questions. Announce order. Rule: one idea per round, timer 60 s, pass without explanation allowed, building on previous ideas explicitly encouraged. | Clarify understanding questions now, not during Round Robin. Otherwise rhythm stalls and energy evaporates. |
2Phase 2: Round Robin | 15-25 min | Round-robin one idea per person spoken or written, at least three rounds. Scribe or participants stick ideas to wall immediately. No evaluation, no discussion between contributions. | If someone passes, continue order immediately, no pressure. Building on previous ideas often produces the most interesting contributions. |
3Phase 3: Clustering | 5-10 min | Sort ideas together into 3-6 clusters. Name clusters. Merge duplicates. | Clusters are discussion anchors, not final categories. Whoever clusters loudest dominates here too; facilitator balances participation. |
4Phase 4: Shortlist | 5-10 min | Dot voting (2-3 dots per person) on ideas or clusters. Note top 3-5 as shortlist with owner and next step. | If an idea from exactly one person gets votes, hear their rationale. Such contributions are often the innovation and otherwise disappear. |

What comes out at the end
One entry per session with date, challenge and participant list. Do not overwrite results from multiple sessions on same challenge; create v2 referencing previous clusters.

Round Robin Brainstorming - Ideas for quarterly client check-in (2026-05-20)
Challenge: How do solo tax advisors like Sabine structure a quarterly client check-in that delivers value in 30 min?
Participants: Anna (chair), Ben, Sabine, Marcus, Lisa, Tobias. Three rounds of 60 s.
Ideas (Round 1):
- Anna: Three-question standard agenda with cash flow, risks, plan.
- Ben: Pre-questionnaire 24 h before.
- Sabine: Visual dashboard on one page.
- Marcus: Standardized action points at end.
- Lisa: 10-min async video as replacement for live appointment.
- Tobias: Quarter-specific topics (Q4 year-end closing preparation).
Clusters: Standardization (5), async format (3), visualization (4), topic context (3), action management (3).
Shortlist:
- Three-question agenda + action-points template (12 dots) - Owner: @anna, template by 2026-05-27.
- Async pre-questionnaire (7 dots) - Owner: @ben, Typeform by 2026-05-30.
- One-pager dashboard (5 dots) - Owner: @sabine, prototype in next client conversation.
Pitfalls
Recognize symptoms and steer against them
Order broken
One person jumps ahead or makes multiple contributions, others stay silent.
Facilitator interrupts immediately and restores order. On repetition, mark explicit speaking order on whiteboard.
Explanations too long
Individual contributions take 3 min, energy drops, others lose focus.
Timer at 60 s visible. On overrun, facilitator politely ends and notes that deepening is possible later.
Pass chain without pause
Several people pass in a row, round empties.
After three consecutive passes, short pause or format change (for example 2 min solo writing). Method lives from contributions.
Evaluation during round
Participants comment on others' ideas, discussion starts.
Strict rule: no evaluation in Phase 2. Facilitator parks discussion until Phase 3 or 4.
No building on previous ideas
All ideas feel isolated, nobody references what came before.
Explicitly announce in second half of Phase 2: building on previous ideas is encouraged. Give examples.
