Participation Logic

Use the session for shared understanding. Contributions are collected visibly, assumptions are aligned, and open differences remain traceable in the artifact.

Input

Sticky notes or digital cards, markers, a large wall or board, a timer, and space for named clusters.

Preparation

Clear one large surface, keep one idea per card, and make silence the default at the start so the notes stay readable.

Agenda

1. 0-10 min (10 min) Owner: Facilitator Action: Review the source notes and make sure each card contains a single observation or idea. Hint: If cards mix multiple ideas, they will be impossible to cluster later. Split them first. Output: Theme clusters

2. 10-25 min (15 min) Owner: Facilitator Action: Place the notes on the board silently and group items that feel related without naming the groups yet. Hint: If discussion starts too early, the loudest interpretation wins. Let the wall do the first pass. Output: Insight statements

3. 25-40 min (15 min) Owner: Facilitator Action: Refine the clusters and move notes until the grouping reflects the shared meaning of the material. Hint: If a note keeps bouncing between clusters, the cluster names are probably too abstract. Output: Opportunity areas

4. 40-60 min (20 min) Owner: Facilitator Action: Name each cluster with a short theme label and write one insight sentence per cluster. Hint: Do not use labels that only restate the notes. The name should say why the cluster matters. Output: Theme clusters

5. 60-90 min (30 min) Owner: Owner Action: Prioritize the implications and mark which themes need follow-up, validation, or decision-making. Hint: If everything looks urgent, force a short ranking step so the team leaves with a clear next move. Output: Insight statements

6. Publish artifact (10 min) Owner: Owner Action: Check the artifact for completeness, define location, set version or status, and name review recipients. Output: Theme clusters
